Data Retention Policy
Version 1.0 — Effective 10 July 2026
1. Principle
We retain personal data and Customer Data only for as long as necessary for the purposes for which it was collected, or as required by applicable law (including accounting and tax record-keeping requirements under Indian law), whichever is longer.
2. Retention Periods
| Data category | Typical retention |
|---|---|
| Active tenant operational data (jobs, tickets, inventory, invoices, AMC) | For the life of the tenant subscription |
| Account/user data | Life of the tenant, plus the period needed to resolve any outstanding disputes |
| Financial records (invoices, purchase bills) | Minimum 8 years, in line with statutory record-keeping norms under Indian tax and company law |
| Audit and consent logs (including legal acceptance history) | Retained indefinitely as an immutable audit trail; never overwritten |
| Login/security logs | Up to 24 months |
3. Deletion on Offboarding
When a tenant terminates its subscription, operational data is retained for a limited grace period to allow export or reactivation, after which it is deleted or anonymised, except where retention is required by law (e.g., financial records) or is part of the immutable audit/consent trail described above.
4. Backups
Data present in routine system backups is retained for a limited operational period and is not separately purged on an individual-record basis; it ages out with the normal backup rotation cycle.
